Overview

The Operations Support role provides vital support throughout the exhibition cycle, handling a range of general exhibition duties including pre-show administration and onsite requirements for all team members, supporting conference logistics and program management. The Operations Support collaborates with all functions and systems to deliver effective and efficient support that contributes to the delivery of exhibitions. We value initiative, curiosity, a problem-solving mindset, humility, teamwork, and the ability to manage multiple projects and tight deadlines with demanding partners.

Responsibilities
  • Operations Administration: Checking stand plans against event stand-building regulations; setup and update stand check systems; maintain and update online show manuals; manage show email inboxes and respond to general inquiries; manage exhibitor lists and floorplan distribution; manage stand plot distribution; liaise with 3rd party vendors for AV, catering, signage, safety training, IT, temp staff, and others; chase service order forms and contractor/exhibitor requirements (artworks, nameboards, insurance certificates, public liability certificates); manage trackers and show folder materials (health & safety files, contractor information, Smartsheet workspaces); liaise with show team and venue operations for meeting room bookings and organizer office needs.
  • Operations Support: Proficient use of e-marketing tools, website management, and Salesforce; sales support including managing entries, quotations, and invoices; upload show logos, addenda, rules, regulations, and indemnity documents to sales tools; manage supplier compliance documents and contracts; support rebooking and contracting processes onsite; manage exhibitor services (badges, credentials, inquiries); handle post and shipping for Sales and Marketing teams; coordinate travel arrangements and hotel/venue communications; negotiate with venues on pricing and terms; organize on-site requirements and marketing team support; manage event marketing materials and content updates for show websites; ensure timely production of marketing assets and social media presence; manage exhibitor and visitor databases and generate lists for marketing use; organize meetings (agendas/minutes).
  • Meeting Administration: Schedule team meetings and maintain agendas/minutes as required.
Qualifications
  • Bachelor's degree holder
  • At least 1 year of relevant experience
  • Strong time and project management skills
  • Excellent written and verbal communication skills
  • Experience in an event/exhibition background is advantageous
  • Good IT skills including Microsoft Office applications
  • Event operations experience is advantageous
