The Medical Records Specialist will play a key role in supporting our personal injury cases by managing the request, follow-up, and organization of medical records and billing documentation. This is a critical position that helps ensure timely and complete documentation for new cases.

  • Request medical records and billing statements from hospitals, emergency rooms, imaging centers, and other relevant providers.
  • Manage follow-ups with third-party providers such as PIOX, Sharecare, etc.
  • Prepare and send HIPAA-compliant requests, including cover letters and authorization forms.
  • Track the status of outstanding requests and ensure timely receipt of records.
  • Communicate with local providers, including chiropractors and physical therapy offices, regarding patient records.
  • Enter and manage case information in Prevail case management system.
  • Coordinate closely with attorneys, claims managers, and legal assistants to ensure case readiness.
    • 1–2 years of experience in a similar role involving medical records, billing, or legal support.
    • Familiarity with HIPAA regulations and medical terminology.
    • Experience with Prevail or other legal case management systems (training available).
    • Strong attention to detail and excellent organizational skills.
    • Ability to work independently and as part of a collaborative legal team.
    • Professional communication skills, both written and verbal.
    • Bilingual (English/Spanish) is a plus, but not required.
