Finance and Medical Records Assistant (Remote)

Position Summary

We are seeking a detail-oriented Finance and Medical Records Assistant to support both medical records management and finance operations. This role involves validating and fulfilling medical records requests, ensuring compliance with HIPAA and privacy regulations, and assisting with finance tasks such as invoicing and subscriber correspondence.

Key Responsibilities

  • Manage and fulfill medical records requests from families, payers, attorneys, and authorized agencies.
  • Validate legal authorizations, ensure provider review/approval, and apply proper redaction as required.
  • Handle subpoenas, court orders, and payer audits with compliance escalation when needed.
  • Maintain accurate records, logs, and secure delivery of PHI.
  • Support finance operations through invoicing, subscriber correspondence, and coordination with billing partners.
  • Uphold strict HIPAA standards, security practices, and confidentiality in all tasks.
  • Collaborate with clinical staff, compliance, and finance teams for smooth workflows.

Qualifications

  • 2+ years of experience in medical records, health information management, or finance/billing support in a healthcare setting.
  • Strong knowledge of HIPAA and privacy/security regulations.
  • Excellent written communication skills (email-heavy role).
  • High attention to detail with document handling, redaction, and file management.
  • Proficiency with EHR/document systems, secure email/encryption, efax, and Microsoft 365/Google Workspace.

Preferred

  • Experience with behavioral health programs or adolescent/family populations.
  • Familiarity with ROI for minors/guardianship, custody orders, and psychotherapy notes.
  • Prior experience with payer audits or third-party billing coordination.
  • RHIT, CHDS, CHPS, or similar certification is a plus.

Work Details

  • 100% Remote (U.S. hours, standard business schedule with availability for meetings).
  • Full-time, non-exempt role.
  • Requires reliable internet and a secure, private workspace.
