Job DescriptionThe Administrative Assistant ensures the efficient operation of the assigned department by managing various clerical and administrative tasks. All communication and collaboration must align with the company's vision of building a Smart Sustainable City through our technologies and projects.
Responsibilities
- Building and maintaining strong relationships with external agencies and key personnel.
- Identifying opportunities for strategic collaboration across various industries.
- Delivering exceptional, client-focused services that exceed expectations.
- Collecting, transporting, and delivering packages, documents, and materials to designated locations as instructed.
- Managing the application, processing, and execution of company-related banking documents.
- Confirming addresses and transportation details before executing pick-up or delivery tasks.
- Planning and selecting the most efficient routes to optimize workload and time management.
- Performing additional duties as assigned by the superior.
- Overseeing the renewal and upkeep of all company leases in the Philippines, including office spaces and corporate accommodations, before expiration.
- Preparing and submitting required reports, such as liquidation statements.
- Ensuring the maintenance and proper functioning of company vehicles or transportation equipment, including routine servicing and cleaning.
- Safely transporting packages, documents, and other materials between locations.
- Using corporate vehicles to provide safe and efficient transportation for clients and visitors.
- Assisting with administrative and clerical tasks, including photocopying, printing, and filing.
- Offering support to staff members as needed.
- Maintaining an updated directory of partners and key contacts.
- Enhancing inter-company collaboration through meetings and joint initiatives.
- Coordinating with HR, Admin, and other departments for document delivery and collection.
Requirements
- An associate's degree is required.
- At least 2 years of experience in a related role.
- Customer-oriented with a strong commitment to service excellence.
- Outstanding verbal and written communication skills.
- Proven ability to establish and maintain strong business relationships.
- Self-motivated with a proactive approach to problem-solving.
- Strong analytical and mathematical skills for data interpretation and report generation.
- Comprehensive knowledge of traffic laws and regulations.
- Proficient in handling clerical and administrative tasks.
- Willingness to work beyond standard business hours when necessary.
- Previous experience as a driver, messenger, or in a similar role is preferred.
- Skilled in driving both manual and automatic vehicles.
- Possesses a valid driver's license for both two-wheeled and four-wheeled vehicles, with a clean driving record.
