Overview

JOB SUMMARY:

  • Administering office works under the Department Head

  • Facilitates billing for payments

  • Assist the Site Team Leader.

Responsibilities
  • Administers and Consolidates documents under the department.

  • Coordinates with Site Personnel and other concerned offices of the company.

  • Setting up meeting & venues of the department head

  • Responsible in keeping/maintaining confidentiality of records/documents of the department and the company.

  • Maintain orderliness (arranges & monitors an orderly & systematic filing system) & cleanliness in the work area.

  • Reviews, summarize & encodes/logs incoming documents for signing and outgoing document for easy tracking

  • Ensures correction and checks veracity of documents for signing of the Department Head which includes check disbursement, etc.

  • Ensures efficient records management and maintains familiarity with pertinent documents

  • Provide assistance in the coordination, internal & external, for organization of activities: meetings, training, special events and facilitate logistics arrangement

  • Facilitating request for payment for cash advance, billings & liquidation and ensure on-time payment

  • Monitoring and renewal of contracts and NTP's of all contractual employees and all services like security agencies and civilian guards

  • Communication with the agencies under the department

  • Requesting/purchasing any needed supplies/tools and any request from site personnel.

  • Re-routing of documents for signature (from site & head office)

  • Monitoring of DTR's of regular employees most especially site-based employees to be submitted to HR

  • Sending out any information/memo's to all site personnel.

  • Preparing of request for payment for cash advance & liquidation under the department head.

  • Performs all other related duties that may be assigned from time to time.

Qualifications

A. Education

  • Graduate in any Bachelors Degree

B. Relevant Work Experience

  • Three (3) years relevant experience as admin assistant/staff or other related jobs

C. Skills

  • Excellent in oral and written communication

  • Good customers service

  • Computer literate
