Work Schedule: 5-day work week

As a Document Control Specialist (Document Controller), you will be responsible for managing document control processes and systems, ensuring compliance with document management standards and regulations.

Other responsibilities include:

  • Implements, maintains, and manages document control systems and processes, including reviewing, processing, filing and archiving documents.
  • Assists the QMS Manager in the preparation of industry-specific quality standards, certifications, and regulations, staying updated on changes and developments.
  • Establishes and updates document control databases and coordinates with Project Teams to facilitate document exchange.
  • Performs quality checks on documents, resolves discrepancies, and collaborates with stakeholders to ensure accuracy and compliance of documents to quality and company standards.
  • Responsible for document retrieval and archiving ensuring documents are systematically labeled and stored (for easy retrieval, version control, and maintenance of accurate records).
  • Establishes document retention schedules, archiving, and proper disposal of outdated documents as well as maintaining the security of confidential documents.
  • Provides support and training to users on document management systems.

To succeed and grow in this role, you will be required to meet the following qualifications:

  • At least 3 years of work experience as a Document Controller or in a similar role
  • Proficient in using document management software or systems.
  • Knowledgeable in Google Space applications (such as Google Docs, Google Sheets and Google Sites).
  • Familiarity with quality management systems (e.g. ISO 9001) is highly desirable.
  • Certified ISO 9001:2015 Lead Auditor is an advantage.
  • Willing to relocate near Calumpit, Bulacan.

A document controller is responsible for the timely, accurate, and efficient preparation and management of documented processes and works instructions. He controls the releasing and retrieval of the documented processes and works instructions.

  • Monitor the creation/revision of the processes and work instruction.

This role oversees retention schedules, maintains records systems, and ensures adherence to regulatory standards.

Key Responsibilities

  • Maintain and manage records retention schedules in accordance with policies, legal, and contractual requirements.
