Job Description

The Admin and Procurement Officer is a critical role responsible for providing high-level administrative support and facilitating the procurement and logistics concerns of the company. This position is also responsible for supply chain management and providing sales support to the Sales Department.

Position: Admin and Procurement Officer Department

Responsibilities
  • Developing and implementing procurement strategies to source specialized items efficiently and cost-effectively
  • Facilitate requisition, canvassing, and system order processing for client’s furniture requirements
  • Follow the purchasing policy and procedures for all purchases
  • Negotiate and make deals with new and existing suppliers to secure the best terms and pricing
  • Maintain strong relationships with existing suppliers and identify new vendors as needed
  • Track and manage inventory levels of special items to ensure availability and minimize stock-outs
  • Collaborate closely with Design, Sales and HR departments
  • Ensure that customer quotations are submitted to the Sales Department at the earliest possible time
  • Responsible for quotations through to the delivery of client orders in coordination with Design and Sales Departments
  • Collaborate with cross-functional teams to understand purchasing requirements and deliver solutions
  • Analyze procurement data and provide insights to improve purchasing processes and decision-making
  • Process requests from Purchase Order, Quotation, Approval, Awarding, Delivery, to Payment endorsement
  • Assist in the management and monitoring of all the company’s hardware; document each user or temporary owner and track pieces as needed for inventory purposes
  • Create, maintain, and organize physical and digital files
  • Prepare and edit documents, including correspondence and reports
  • Manage and update databases, spreadsheets, and other records needed
  • Handle sensitive and confidential information with discretion and professionalism
  • Provide support to the Sales Department in their daily operations
  • Input and update data in various systems and databases of suppliers, factories, and clients
  • Ensure accuracy and completeness of data
  • Undertake special projects and research tasks as assigned
Qualifications
  • Experience: At least less than 1 year of experience
  • Education: Not required
