General Duties and Responsibilities
Management and Committee Meetings
Facilitation : Organizes and facilitates Executive and Management Committee Meetings
Documentation : Accurately captures, prepares, and cascades Minutes of the Meeting to relevant stakeholders
Scheduling : Coordinates and schedules meetings, ensuring alignment with departments and stakeholders
Coordinates and aligns with departments/stakeholders for meeting schedule
Sends out online/face-to-face meeting invites and presentation materials to relevant stakeholders
Sends out Executive and Management Committee Meetings schedule via email
Reminds person/s responsible of upcoming meeting schedule
Arranges meeting venue and other materials needed
Monitoring : Tracks key takeaways, action points, and commitments from Meetings
Follows-up commitments from departments/projects/relevant stakeholders
Reminds and upholds meeting guidelines for adherence of meeting presenters
Assists Corporate Planning Officer in reviewing the presentation material of presenters, ensuring that it adheres to requirements of Executive and Management Committee
Maintains tracker of Executive and Management Meetings
Corporate Planning, Strategy Development, and Implementation
Strategy Formulation : Assists in the formulation and review of the company’s long-term and short-term corporate strategies
Facilitates the cascading of corporate strategy to all organizational levels
Assists in the implementation of action plans to all levels in the organization
Event Preparation : Assists in preparing for Corporate Planning Department-led events such as Strategic Planning and other Forums
Risk Management
Risk Tracking : Assists the Risk Officer/Risk Associate in tracking emerging risks and developing policy recommendations targeted to counter emerging risks and seize opportunities
Supports the Risk and Compliance Officer in preparing board presentation materials
Other Responsibilities
Tracks departmental expenses in coordination with Corporate Planning Head
Tracks department KRAs and ensures proper and organized documentation of department files
Maintains internal trackers and performs other duties and responsibilities from time to time
Assists the Corporate Planning Head, Corporate Planning Officer, and Corporate Planning Analyst in accomplishing ad hoc tasks
