What You’ll Do:

The Accounting Associate is responsible for handling accounting data entry, reconciliations, and administrative finance support to ensure accuracy, compliance, and efficiency in financial operations. The role processes vendor bills, invoices, receipts, and reconciliations, maintains accurate records, supports month-end close and report preparation, and assists with vendor, contractor, and employee onboarding documentation.

Key Responsibilities:

• Accurately enter vendor bills, invoices, receipts, and credit card transactions into systems such as Sage Intacct, QuickBooks Online (QBO), and Float.

• Process and reconcile bank and credit card statements on a monthly basis.

• Maintain accurate and up-to-date customer and vendor records to ensure data integrity.

• Support month-end close activities by preparing reconciliations and reports as needed.

• Track accounts receivable and follow up on overdue invoices.

• Prepare, format, and proofread financial and administrative documents, reports, and templates.

• Coordinate meeting schedules, prepare agendas, and support documentation requirements for onboarding vendors, contractors, and employees.

• Ensure the creation and quality control of client-facing finance materials.

• Continuously improve finance and administrative systems for accuracy, clarity, and efficiency.

Qualifications:

• Proficient in GAAP-compliant accounting using Sage Intacct, QuickBooks Online, and Float.

• Detail-oriented, organized, and reliable with a strong sense of ownership and discretion.

• Quick to learn new tools; skilled in Google Workspace and Office 365.

• Strong communicator and cross-functional collaborator with a problem-solving mindset.

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

• At least two (2) years of experience in accounting data entry, bookkeeping, or administrative support.

• Must have stable employment history.
