Recruiting Administrator (CA Based Client) – Intelassist

Location: Quezon City, National Capital Region, Philippines

Employment Type: Full-Time

Work Setup: Onsite onboarding for two weeks, followed by a transition to a remote setup. Night shift to follow U.S. Pacific Time Zone.

Job Description

We are seeking a highly accountable and experienced Offshore Sourcer / Recruiting Administrator to support our recruiting team. This role focuses on identifying and engaging top talent across a variety of non-IT functions. The ideal candidate will have strong agency recruiting experience, excellent written communication, and familiarity with North American workplace communication norms. The candidate should be tech-savvy, organized, and committed to long-term success in a performance-driven environment.

Responsibilities
  • Sourcing & Talent Identification
  • Review detailed job descriptions and interpret hiring manager needs
  • Search, screen, and shortlist candidates using LinkedIn, Bullhorn, and external databases
  • Generate Boolean search strings and use advanced filters to improve match quality
  • Maintain a strong talent pipeline for active and forecasted roles
  • Candidate Outreach & Engagement
  • Draft and send customized outreach messages to candidates
  • Present roles professionally with North American communication norms
  • Coordinate interest handoffs to the lead recruiter; no phone or video calls required initially
  • Maintain a professional, brand-aligned candidate experience throughout sourcing
  • Recruitment Admin Support
  • Track all sourcing activity in Bullhorn ATS including status updates, notes, and next steps
  • Ensure candidate records are clean, current, and complete with appropriate tags and source attribution
  • Support resume formatting, manual uploads, and candidate tracking spreadsheets as needed
  • KPI-Driven Execution
  • Meet weekly and monthly performance metrics (e.g., outreach volume, lead conversion rate)
  • Adapt to recruiter feedback and refine sourcing strategy based on results
  • Participate in regular check-ins and provide progress updates to the recruiting team
Qualifications
  • Bachelor’s degree in Human Resources, Psychology, Business Administration, or a related field
  • Minimum of 5 years of recruiting experience, with a strong preference for agency and staffing experience
  • Proven success in high-volume sourcing and candidate engagement
  • Experience with international or North American clients is an advantage
  • Strong employment stability and a desire to build a long-term career
  • References and reasons for leaving current career will be considered
  • Technical Skills
  • Bullhorn ATS or equivalent (e.g., JobDiva, Greenhouse, Lever)
  • LinkedIn Recruiter proficiency and strong Boolean search knowledge
  • Google Workspace (Gmail, Docs, Sheets, Calendar)
  • Comfort with Slack, Microsoft Teams, Zoom
  • CRM or data hygiene experience is a plus
  • Soft Skills
