Administrative Specialist/Assistant

The Administrative Specialist (or Assistant) provides high-level administrative and clerical support to ensure efficient operation of the department or office. This role involves managing communications, coordinating schedules, maintaining records, and supporting daily business activities to enhance team productivity and organizational effectiveness. Responsibilities: Perform general administrative duties including filing, scheduling, correspondence, and data entry. Manage calendars, arrange meetings, and coordinate travel plans for team members or executives. Prepare reports, presentations, and other business documents as required. Maintain and organize office systems, records, and databases to ensure accuracy and accessibility. Handle incoming calls, emails, and inquiries; route messages appropriately. Assist in procurement, inventory management, and vendor coordination. Support recruitment or onboarding processes (e.g., scheduling interviews, preparing onboarding materials). Monitor and process expense reports, invoices, and purchase requests. Coordinate internal and external communications, meetings, and events. Ensure compliance with company policies and confidentiality of sensitive information. Qualifications: Bachelor’s degree or equivalent experience in Business Administration, Management, or related field. Proven experience as an administrative assistant, office coordinator, or similar role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management systems. Excellent written and verbal communication skills. Strong organizational skills and attention to detail.
