
Junior Executive Assistant

The Junior Executive Assistant supports the Vice President by ensuring effective communication and coordination between the head office and all Harbest branch showrooms. The role includes monitoring branch compliance in showroom standards, report submissions, and implementation of promotions and social media activities. This position also involves coordinating with in-house experts for training sessions and assisting the Vice President in their administrative, scheduling, and operational support needs. The ideal candidate is reliable, highly organized, fast-working, and capable of handling multiple responsibilities with initiative.
Key Responsibilities- Branch Coordination & Compliance Monitoring
- Act as the communication bridge between the VP’s office and all branch showrooms.
- Ensure branches are compliant with:
- Showroom standards: cleanliness, merchandising, customer readiness
- Availability of products being promoted on social media
- Timely submission of operational reports to the head office
- Daily deposit confirmations for cash sales (monitoring only; no handling of AR)
- Follow up and escalate non-compliance issues to the VP or Executive Assistant.
- Coordinate with in-house experts to schedule product knowledge refreshers for branch staff.
- Ensure training schedules are followed and feedback is collected if needed.
- Track which branches have completed training and identify those that require follow-up.
- Coordinate with third-party media agencies to ensure campaign materials are received by branches on time.
- Monitor if branches are posting promotions on schedule across their social media accounts.
- Verify that advertised products are in stock in the branches prior to posting.
- Consolidate weekly social media compliance reports for review.
- Assist the Vice President in administrative and operational matters, including:
- Calendar and meeting coordination ◦ Drafting internal memos or communications
- Preparing briefs or reports based on branch updates
- Tracking action points from meetings with branch or department heads
- Help streamline the VP’s daily activities by anticipating needs and taking initiative to resolve minor issues independently.
- Bachelor's degree in Business Administration, Marketing, Communications, Operations, or related field.
- 1–2 years experience in administrative, coordination, or retail support roles.
- Strong organizational skills and the ability to multitask efficiently.
- Proficient in spreadsheets, Google Drive, email communication, and basic office tools.
- Familiar with social media platforms (Facebook, Instagram, TikTok, Youtube) and brand alignment practices.
- Excellent verbal and written communication skills in both English and Filipino.
- Trustworthy, fast worker, and can handle sensitive information with discretion.
- Familiarity with Shopee, Lazada, and Wix is a plus.
- Proactive and dependable — able to work with minimal supervision.
- Comfortable working with multiple stakeholders across departments and branches.
- Eager to learn and grow into a senior executive support or operations coordination role.
