RESPONSIBILITIES
  • Executive Assistant – Calendar Management and Meeting Logistics
  • Provides calendar management support based on business and executive needs, ensuring integrity and confidentiality.
  • Exercises priority and awareness for high-impact meetings (e.g., high-profile, large-scale, urgent needs).
  • Supports meeting logistics (e.g., room booking, Teams setup).
  • Executive Assistant – Internal Communication
  • Manages Outlook (distribution list, MS Teams sites, SharePoint).
  • Provides employee lifecycle support (onboarding, resignation).
  • Oversees purchase/expense management (purchase requests, travel reimbursement, compliance with policies and procedures).
  • Assists customers/vendors (office entry/exit, meeting coordination).
  • Creates, builds, and manages annual Rhythm of Business (ROB) with executive leaders and Chiefs of Staff, including fiscal-year calendar and executive meeting schedules (HR cadence, fiscal cadence, SLT cadence, company-wide/employee resource group cadence).
  • Executive Assistant – Meeting and Event Coordination
  • Manages meetings (pre/post contents, action log follow-up).
  • Provides event management support (hotel/venue, catering, event agency sourcing, coordination, and management).
  • Supports team building, networking opportunities, and morale initiatives.
  • Oversees executive visits and travel logistics, ensuring proactive communication with domestic and international stakeholders for optimized trip outcomes.
  • Executive Assistant – Rhythm of Business (ROB)
  • Prepares team for ROB cadence and manages workloads across multiple ROBs.
  • Informs ROB strategy and ensures planning aligns with established cadences.
  • Directs continual implementation and flexibility of ROB in partnership with Chiefs of Staff and peers.
  • Coordinates travel arrangements (accommodations, transportation, security) for managers/executives.
  • Creates detailed itineraries/agendas, setting and managing travel expectations to maximize productivity.
  • Manages required documents for international travel (visas, passports, immunization records).
  • Ensures compliance with US Travel Tax Tool; disseminates and enforces travel policies and expectations.
