Executive and Admin Assistant — Remote
Location: Taguig / Pasig area; Permanent, remote position. Full-time | 40 hours per week. Compensation starts at Php 40,000 take-home per month. Schedule: Monday to Friday, 1:00 am to 9:00 am Manila Time.

About the Role
The Admin and Bookkeeping Assistant supports the seamless operation of a US-based firm, blending meticulous administrative coordination, precise bookkeeping, and proactive client engagement.
Responsibilities
- Executive and Administrative Support: review email sorting process within the first month, identify action items with 100% accuracy, send daily reminders; establish calendar and travel management within 30 days to reduce scheduling conflicts; master Copper CRM within 60 days with up-to-date client data and timely bookings; take detailed client call notes with AI (Fireflies) aiming for zero missed items over three months; develop a client follow-up protocol to increase client engagement by end of Q2.
- Bookkeeping: take over QuickBooks entries within two weeks, ensure 100% accuracy in income/expense tracking and proper tagging; streamline invoice creation to generate client invoices within one business day of service; ensure freelancer/contractor invoices are paid on terms.
- Podcast Production: create a podcast production calendar within 45 days; develop pre-recording tech checklist and run-through; implement system for uploading episodes and annotating show notes within three months to enhance listener engagement.
- Key Subtasks: document executive and administrative processes within 90 days to create a training manual; provide housing/moving support documents and ensure high-level English communication in client interactions.
Qualifications
- Minimum 2 years’ experience in an executive administrative/assistant role.
- Proficiency in QuickBooks with demonstrated experience.
- Excellent English communication and writing skills; strong research abilities.
- Experience with CRM (Copper or similar) and maintaining up-to-date client data; ability to manage executive travel and meetings.
- Strong etiquette, ability to build rapport, and meticulous follow-through on processes.
- Advanced Google Suite proficiency; tech-savvy with ability to learn new platforms quickly.
- Highly organized, self-starter, and capable of working autonomously with minimal supervision.
Home-Based Requirements
- Fast, reliable wired internet (not less than 5 Mbps).
- Quiet, private home office with minimal distractions.
- Updated computer (desktop or laptop), high-quality headset with microphone, and working webcam.
