BRIEF DESCRIPTION
The Admin Associate for the Transport Group provides essential administrative support to ensure the efficient operation of the transport department. This role involves handling a variety of tasks related to documentation, communication, and data management.
DUTIES AND RESPONSIBILITIES
Facilitate thorough verification and acceptance of third-party trucker billings and invoices.Prepare concise billing summaries for departmental budgeting submissions to the finance team.Collect and consolidate proofs of delivery for both in-house and subcontracted services. s.Accurately manage the disbursement and liquidation processes for the department's revolving fund.Support the management of transport-related inventory, including trucking supplies, PPEs, office supplies and ordering materials as needed.Collaborate with other departments, such as finance and human resources, admin to ensure compliance with policies, procedures, and any related office activities.Prepare, manage, and file transport-related documents, such as delivery logs, vehicle maintenance records, and compliance reports.Provide comprehensive administrative support to the transport team, including handling phone calls, emails, and correspondence from the office.
QUALIFICATIONS
Bachelor’s Degree in Office Administration, Logistics, or any related field.Minimum of 2 years of administrative experience, preferably in a transportation or logistics environment.Strong organizational and multitasking abilities.Excellent attention to detail and accuracy.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Google Suites).Strong communication and interpersonal skills.Ability to work independently and as part of a team.Good problem-solving skills and the ability to handle multiple priorities.-
