Qualifications & experience
• Either a Diploma or equivalent with related studies in Finance / Business Studies / Administration / Marketing or equivalent qualification with relevant experience. • 2 to 3 years work experience in related field; • Familiarity with Government regulations and procedures related to Finance and Administration is a plus. • Good interpersonal skills and the ability to interact with all levels of people; • Possess good written and verbal communication skills; • Computer literate Microsoft Office; CRM system
Tasks & responsibilities
• Office Assistant will support various finance and administrative tasks, ensuring the smooth operation of daily office functions. • Prepare billing invoices accurately and timely for clients. • Prepare monitoring reports of threaded rebars for MDC/MDBI projects; submission on the Procore system for evaluation. • File cash/check disbursements monthly. • Organize and file threading accomplishments. • Monitor, update, and record threading works and over-threading on the Sales Order Overview Summary versus clients' Job Orders (JO) and Purchase Orders (PO). • Record transactions in the general ledger, general journal, cash/check disbursement journal, and purchases journal. • Assist the Office Administrator with yearly renewal of BOC accreditation, Quarterly BIR Relief of VAT, Various day-to-day transactions, and Preparing the weekly total threading report. • Record input VAT (purchases) for counter-checking with the accountant's records for quarterly BIR relief.• Reporting to Country General Manager on the— i. Threading accomplishments versus billed/for billing/over-threading versus workers' salary for all project sites bi-monthly (15th and 30th of the month).Tabulate information i.e. invoices, operations costs, payroll, consumables, and rental expenses for INFRA/ Building projects and other project sites as needed. iii. Summarize projects with over-threading. iv. Generate and submit additional reports related to threading accomplishments as required. • It is not possible to enumerate all duties, the scope covers all finance & admin related tasks. The duties will extend to other departments as and when required; • The management reserves the right to alter/ assign further duties from time to time which are not computed in this job description.
