Job Summary
The Contract Management Associate is responsible for overseeing vendor contracts throughout their entire lifecycle—from drafting and review to renewal or termination. The role ensures compliance with company policies and legal standards, monitors key contract dates, supports vendor performance assessments and risk management, maintains accurate documentation, and prepares reports for management.
Key Responsibilities
1. Contract Preparation & Review
- Draft, revise, and update vendor contracts, service agreements, and amendments.
- Verify that all contract terms meet legal, internal, and procurement requirements.
- Collaborate with Legal, Procurement, Finance, and Operations to gather inputs and secure necessary approvals.
2. Contract Administration
- Maintain a complete and well-organized contract repository, both digital and physical.
- Track contract versions, approval documents, and signed copies.
- Ensure timely routing of documents for signature based on the authorized signatory matrix.
3. Lifecycle Management
- Monitor contract timelines, including start dates, expiration dates, and renewal notices.
- Coordinate contract renewals, extensions, or terminations.
- Ensure vendor onboarding and offboarding follow contract requirements.
4. Compliance Monitoring
- Verify vendor adherence to contract terms, scope of work, SLAs, and KPIs.
- Identify and escalate any compliance issues to Procurement, Operations, or Vendor Management.
- Conduct periodic compliance checks and audits.
5. Vendor Performance Support
- Assist in vendor performance evaluations by collecting and analyzing data.
- Work with Operations and Vendor Management to confirm SLA/KPI results.
- Document performance concerns and link them to relevant contract clauses.
6. Risk Management
- Identify financial, legal, and operational risks within vendor contracts.
- Recommend risk mitigation measures or contract adjustments.
- Ensure vendor insurance, permits, certifications, and regulatory documents remain valid and compliant.
7. Documentation & Reporting
- Maintain and update the contract tracker for status, key dates, and obligations.
- Prepare contract-related reports (expiring contracts, renewals, compliance gaps).
- Ensure complete documentation for audit and procurement requirements.
Qualifications:
- Bachelor's Degree in Business Administration, Legal Management, Supply Chain, or related field.
- At least 0-1 year of experience in Contract Management, Procurement, Vendor Management, or Compliance. (WE ARE ALSO CONSIDERING FRESH GRADUATES WITH NO EXPERIENCE)
- Strong understanding of contract terms, service agreements, SLAs, and procurement workflows.
- Proficient in MS Office (Word, Excel, PowerPoint) with strong document management skills.
- Strong attention to detail, analytical thinking, and ability to work with multiple stakeholders.
Job Type: Fixed term
Contract length: 3 months
Pay: Php18, Php23,000.00 per month
