Contract Management Associate

Job Summary
The Contract Management Associate manages vendor contracts from drafting to renewal or termination, ensuring compliance with company policies and legal requirements. This role tracks key dates, supports vendor performance and risk management, maintains organized records, and provides reports to management.
Key Responsibilities
1. Contract Preparation & Review
- Draft, review, and update vendor contracts, service agreements, and amendments.
- Ensure contract terms comply with legal requirements, company standards, and procurement guidelines.
- Coordinate with Legal, Procurement, Finance, and Operations for contract inputs and approvals.
2. Contract Administration
- Maintain a complete and organized contract repository (digital and physical).
- Track contract versions, approval documents, and signed copies.
- Ensure timely routing for signatures based on authorized signatories matrix.
3. Lifecycle Management
- Monitor contract timelines, start/end dates, renewal notices, and expiration dates.
- Facilitate renewal, extension, or termination of vendor contracts.
- Ensure vendor onboarding and offboarding align with contract requirements.
4. Compliance Monitoring
- Ensure vendors comply with contract obligations, scope of work, SLAs, and KPIs.
- Identify non-compliance issues and escalate to Procurement, Operations, or Vendor Management.
- Conduct periodic contract compliance audits.
5. Vendor Performance Support
- Support vendor performance reviews through data gathering and reporting.
- Coordinate with Operations and Vendor Management to validate SLA/KPI results.
- Document performance issues and reference corresponding contract provisions.
6. Risk Management
- Identify risks in vendor contracts (financial, legal, operational).
- Recommend mitigation actions or adjustments to contract terms.
- Ensure vendor insurance, permits, certifications, and regulatory documents are current and compliant.
7. Documentation & Reporting
- Maintain and update the contract tracker for status, key dates, and obligations.
- Prepare contract-related reports (expiring contracts, renewals, compliance gaps).
- Ensure complete documentation for audit and procurement requirements.

Qualifications:
- Bachelor's Degree in Business Administration, Legal Management, Supply Chain, or related field.
- At least 0-1 year of experience in Contract Management, Procurement, Vendor Management, or Compliance. (WE ARE ALSO CONSIDERING FRESH GRADUATES WITH NO EXPERIENCE)
- Strong understanding of contract terms, service agreements, SLAs, and procurement workflows.
- Proficient in MS Office (Word, Excel, PowerPoint) with strong document management skills.
- Strong attention to detail, analytical thinking, and ability to work with multiple stakeholders.
- Good communication skills for coordinating with vendors and internal teams. 0-1 year of experience in Contract Management, Procurement, Vendor Management, or Compliance.
- Strong understanding of contract terms, service agreements, SLAs, and procurement workflows.
- Proficient in MS Office (Word, Excel, PowerPoint) with strong document management skills.
- Strong attention to detail, analytical thinking, and ability to work with multiple stakeholders.
Job Type: Fixed term
Contract length: 3 months
Pay: Php18, Php23,000.00 per month
