The client is seeking a skilled Maintenance & Work Order Coordinator to streamline vendor coordination, manage work order operations, and maintain exceptional communication standards. Job Highlights

Monthly Rate: Php 55,000+

Number of Paid Hours Per Week: 40 hours per week

Schedule: Monday to Friday, 9 AM – 5 PM Glenmont, NY time

Work Arrangement: Work from home

Contract: Independent Contractor

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an "Independent Contractor," the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.


Responsibilities
  • Review and prioritize incoming maintenance requests, ensuring accurate and timely closure of work orders
  • Schedule and manage vendors to complete maintenance tasks in a timely and cost-effective manner
  • Order necessary materials and equipment for maintenance jobs and ensure timely delivery
  • Coordinate with tenants to schedule work, ensure satisfaction, and collect post-service feedback
  • Ensure contractors properly close work orders with required documentation (photos, videos, notes, invoices)
  • Track and monitor key performance indicators (KPIs) for maintenance efficiency and quality
  • Provide feedback and coaching to contractors for continuous improvement
  • Manage communication with tenants during maintenance or crisis situations
  • Evaluate and enhance current systems and processes to improve efficiency and tenant experience

Requirements
  • Minimum of 3+ years of experience in property management, facilities coordination, or maintenance scheduling/dispatch
  • Proven ability to manage high-volume work orders (50+ active weekly)
  • Experience sourcing, onboarding, and managing external contractors/vendors
  • Skilled in handling sensitive tenant issues and crisis communication
  • Proficiency in CRM systems or databases for tracking vendor and tenant records
  • Strong negotiation and budgeting skills for vendor and materials management
  • Excellent organizational and multitasking abilities under tight deadlines
