The Administrative and Receptionist Assistant is responsible for providing front desk support, administrative assistance, and office coordination to ensure smooth day-to-day operations. This role serves as the first point of contact for visitors and callers while assisting in various clerical and administrative tasks.
Key Responsibilities:
Reception Duties:
Greet and assist visitors, clients, and employees courteously and professionally.
Answer, screen, and forward phone calls and inquiries.
Manage reception area cleanliness and ensure a welcoming environment.
Receive, sort, and distribute mails, deliveries, and packages.
Administrative Support:
Prepare and maintain office correspondence, reports, and records.
Schedule meetings, appointments, and conference rooms.
Assist in organizing company events and activities.
Monitor and replenish office and pantry supplies; coordinate with suppliers as needed.
Prepare Inventory of Office Supplies, Office requirements, Utilities supplies and any related to.
Maintain and update filing systems (physical and digital).
Handles utility for cleanliness of the Office
Clerical and Coordination Tasks:
Support HR departments with basic data entry and document processing.
Assist in handling petty cash and reimbursement requests (if applicable).
Coordinate with service providers for office maintenance and repairs.
Ensure compliance with office procedures and company policies.
