
Executive Assistant

Job Summary:
An Executive Assistant is the support system of and plays a pivotal role in supporting the executives/senior leaders. Responsible for the efficient handling of administrative duties, the Executive Assistant helps to maintain the executive's schedule, manage their communications and assist with special projects, enabling the executive to focus on decision-making and leadership responsibilities.
Key Responsibilities:
- Manage the executive's daily calendar, including scheduling meetings, appointments and travel arrangements
- Prepares important documents such as reports, presentations and briefing papers
- Maintains comprehensive and accurate records, including document management and filing system
- Provides general administrative support such as drafting correspondence, composing minutes of meetings and making expense claims
- Assists with the organization of corporate events, conferences and board meetings including gathering documents and attending to logistics of meetings
- Monitors and responds to emails and manage multiple inboxes to ensure no communications are overlooked
- Implement and maintain procedures/administrative system to enhance office operations
- Collaborate with other staff to ensure smooth and efficient workflow and handling of executive demands
- Handles sensitive information in a confidential manner
- Act as the first point of contract for the executive, handling and rerouting inquiries as appropriate
Qualifications:
- A Bachelor's Degree in business Administration, Communications, Management or any related field
- Minimum 3 years related work experience
Key Competencies:
- Excellent interpersonal and communication skills
- Strong proficiency in MS Office particularly Word, Excel and Powerpoint
- Excellent time management skills
- Exceptional organizational skills and has the ability to multitask effectively in a high-pressure environment
- Experience with Virtual communication platforms such as Zoom, WebEx and Microsoft Teams
