The Executive Assistant provides high-level, strategic, and administrative support to the Chief Executive Officer. The role requires exceptional organizational skills, sound judgment, and the ability to handle sensitive and confidential information. The Executive Assistant serves as a trusted partner to the CEO, helping manage daily priorities, communications, and critical projects, ensuring optimal efficiency and productivity.

Key Responsibilities:

Executive Support

  • Manage the Executive's calendar, schedule appointments, meetings, and events.
  • Coordinate and prioritize time-sensitive tasks and commitments.
  • Prepare and organize documentation for meetings, presentations, and reports.
  • Act as the point of contact between the CEO and internal/external stakeholders.
  • Maintain strict confidentiality of all information related to company operations, strategic plans, and personnel matters.

Communication Management

  • Draft, review, and send communications on behalf of the CEO.
  • Manage incoming emails, calls, and messages, and respond or delegate as appropriate.
  • Coordinate with other departments to relay instructions and follow through on deliverables.

Meeting and Event Coordination

  • Schedule, organize, and support executive and board meetings.
  • Prepare agendas, take minutes, and ensure follow-up on action points.
  • Assist in planning company-wide meetings, strategic off-sites, and corporate events.

Travel and Expense Management

  • Plan and manage travel arrangements, including flights, accommodations, transportation, and visa processing.
  • Prepare travel itineraries and ensure smooth logistics.
  • Process and track reimbursements and expense reports in compliance with company policy.

Project Assistance

  • Support the CEO on special projects and strategic initiatives.
  • Conduct research, gather data, and provide summaries or briefings.
  • Track project deadlines and coordinate with relevant departments for progress updates.

Administrative and Office Functions

  • Maintain organized files, records, and documentation for the executive office.
  • Liaise with administrative staff and department heads to facilitate operations.
  • Ensure the CEO's office environment is organized and optimized for productivity.

Qualifications:

  • Bachelor's Degree in Business Administration, Management, Office Administration, Communications, or a related field.
  • At least 1 year of experience ( Open for fresh graduates)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and modern communication tools.
