Overview

We are looking for an E-commerce & Administrative Coordinator to support the management of our online business and assist with administrative tasks. This role will help ensure smooth day-to-day operations across e-commerce activities (order management, product listings, inventory tracking), provide administrative support, and coordinate with freelancers to deliver marketing materials such as banners, ad videos, and other collaterals.

The ideal candidate is organized, detail-oriented, and proactive, with a good grasp of e-commerce workflows and the ability to manage multiple contractors.

Key Responsibilities

E-commerce Support

  • Assist in managing product listings (updates, descriptions, pricing, stock availability).
  • Monitor and process online orders to ensure timely fulfillment.
  • Coordinate with logistics providers, suppliers, and warehouse partners.
  • Track sales, returns, and customer service issues.
  • Support promotional campaigns (discounts, bundles, product launches).
  • Prepare regular sales and performance reports.

Administrative Support

  • Manage schedules, emails, and communications.
  • Maintain digital files, records, and reports.
  • Track expenses, purchases, and vendor invoices.
  • Organize internal documents such as contracts, receipts, and SOPs.
  • Provide coordination support with contractors or external partners.

Marketing Coordination

  • Work with freelancers (graphic designers, video editors, content creators) to ensure marketing collaterals are delivered on time and aligned with brand guidelines.
  • Coordinate the creation of banners, ad videos, product images, and campaign assets.
  • Ensure marketing materials are properly deployed across e-commerce platforms and social media.
  • Track campaign timelines and deliverables.
  • Provide feedback to freelancers and maintain quality control.

Qualifications

  • Experience in e-commerce operations (Shopify, Lazada, Shopee, or similar platforms preferred).
  • Strong proficiency in Excel / Google Sheets (data management, reports, formulas).
  • Organized, detail-oriented, and able to manage multiple projects simultaneously.
  • Good communication skills to coordinate with freelancers and suppliers.
  • Tech-savvy and comfortable with digital tools (project trackers, file-sharing, e-commerce dashboards).
  • Canva skills are a plus (for reviewing or light editing).
  • Prior experience in admin, e-commerce, or marketing coordination roles is preferred.
