Why We Need You

As a Hubspot Operations Coordinator at Olly Olly, you'll provide vital administrative support to the operations team, ensuring smooth collaboration across departments and efficient data management. You'll be responsible for troubleshooting software issues, assisting with project coordination, and conducting research to drive operational efficiency.

Much of your day will involve helping team members across Sales, Customer Experience, and Marketing resolve HubSpot-related questions and issues via our internal ticketing system. You'll play a critical role in ensuring the platform runs smoothly and efficiently for 100+ users. This role offers the opportunity to contribute to impactful decision-making in a fast-paced environment, where your adaptability and versatility will play a key role in our success.

The Impact You'll Have
  • Design, build, and troubleshoot HubSpot workflows, forms, lists, and automation rules to keep internal processes running smoothly across departments.
  • Audit and maintain HubSpot workflows to ensure efficiency, accuracy, and reliability in data flow and automation.
  • Manage and resolve internal HubSpot-related tickets via our service desk, providing timely solutions to 100+ internal users.
  • Provide administrative support to the operations team.
  • Assist in maintaining and organizing digital documentation, ensuring easy access and retrieval across departments.
  • Manage and update internal and client-facing knowledge bases to ensure accuracy and accessibility.
  • Coordinate with teams to facilitate communication and collaboration on projects.
  • Accurately input data into databases or systems, ensuring integrity and organization.
  • Troubleshoot issues with third-party software and provide internal support.
  • Assist in preparing and distributing reports, presentations, and materials for stakeholders.
  • Help monitor and track project timelines, providing updates and escalating issues as needed.
  • Assist in conducting research and gathering data to support decision-making.
  • Support the implementation and optimization of operational processes for enhanced efficiency.
  • Handle ad-hoc tasks and projects assigned by operations management, demonstrating flexibility and adaptability.
What We Really Need From You
  • 2+ years of professional experience in an operations role (preferred).
  • Hands-on experience managing internal help tickets (Zendesk, Freshdesk, HubSpot Service Hub, or similar).
  • Strong troubleshooting and problem-solving skills, particularly within HubSpot CRM and automation tools.
  • Experience with HubSpot workflows and automation.
  • Experience managing and maintaining knowledge bases.
  • Advanced or Near-Native English (both spoken and written).
  • Technical proficiency in G-Suite & Excel (Adobe Creative Suite is a plus).
  • Strong communication skills, with the ability to engage effectively with senior management, employees, and vendors.
What Would Be Big Pluses
  • Bachelor's degree or equivalent work experience
  • HubSpot certification(s) or documented experience in a HubSpot-heavy environment.
