I. JOB SUMMARY

The position is responsible for verifying all documents endorsed by respective departments and employees to Finance for appropriate payments. This role ensures the accuracy and completeness of financial documentation and compliance with company policies.

II. RESPONSIBILITIES

  1. Review and validate the Daily Expense Summary and Revolving Fund of vessels for payment. Ensure all attachments are complete and information is accurate.

  2. Verify suppliers' and contractors' invoices to ensure they include all required attachments such as Purchase Orders, Job Orders, Delivery Receipts, and Invoices/WAC (Monitor. Confirm that all documents subject to attest have the necessary approvals from the Department Head.

  3. Verify billing statements for the payment of various support services, including insurance, utilities, tug assists, and rentals and ensure all required documentation is complete and accurate.

  4. Prepares adjusting entries and encodes payments in the Enterprise Resource Planning (ERP) system

  5. Conduct spot cash audits of vessels' revolving funds and land-based employees. Prepare detailed audit reports for review by the Treasury and Payables Supervisor.

  6. Conduct annual physical audit of inventory items in the warehouse in collaboration with the FS and Government Report Supervisor and Treasury and Payables Supervisor. Ensure the accuracy and completeness of inventory records.

  7. Prepare weekly summary entries of vessel Statement of Port Disbursements

  8. Weekly update and monitor vessel RF ledgers (ensure no errors or double payments and all transactions are accounted for).

III. MINIMUM JOB SPECIFICATIONS

A. Education/License:

  1. College graduate with degree on Accountancy/Business Administration

  2. CPA is an advantage

B. Years and Type of Experience

  1. Two (2) years' experience in the same capacity

  2. Preferably with experience in internal auditing

C. Related Skills/Knowledge:

  1. Good in oral and written communication

  2. Interpersonal skills – can effectively relate with people in all levels of the organization

  3. Computer skills – proficient in MS Office applications particularly excel

  4. Knowledge in ERP system

D. Basic Training Requirements

  1. Basic Internal Control Concepts and Internal Auditing Principles and Practices
