Job Description

Be part of our client's team as an Executive Assistant and HR Administrator, providing vital support to a dynamic Director while assisting clients in optimizing HR systems and processes. This role combines executive coordination, HR administration, and performance tracking-bridging strategy and operations to ensure seamless execution and meaningful impact across global people and culture initiatives.

Shift: Day Shift (8:30 AM - 5:30 PM AEST), Weekends Off

The Qualifications We Seek

Prior Experience:

  • At least 1 year of experience as an Executive Assistant, Office Manager, or HR Administrator
  • Previous experience in a consultancy, professional services, or fast-paced small business environment
  • Exposure to HR platforms such as Employment Hero, DocTrack, or ATS (preferred but not required)

Technical Qualifications:

  • Strong proficiency in Microsoft Office Suite and SharePoint
  • Skilled in formatting professional documents using Canva with keen attention to detail
  • Familiarity with Employment Hero or the ability to learn new systems quickly
  • Proficient in using LinkedIn and basic social media scheduling tools
  • Excellent written communication skills for editing and preparing HR-related documents

Your Daily Tasks

Executive Support:

  • Manage the Director's diary and calendar
  • Coordinate meetings, coaching sessions, and workshops
  • Format and edit documents using Word, Excel, PowerPoint, and Canva
  • Organize and maintain SharePoint file systems
  • Schedule and post content on LinkedIn and other social media platforms
  • Provide ad hoc personal and professional support to the Director

HR Administration for Clients:

  • Prepare HR documents and perform administrative support tasks for clients
  • Maintain and update employment contracts and related HR documentation
  • Oversee probation review and exit interview processes
  • Review and update HR policies to ensure clarity and relevance
  • Enhance efficiency and expand the usage of Employment Hero

Performance Measurement:

  • Complete diary, document, and scheduling tasks accurately and promptly
  • Maintain organized and updated HR documentation and systems
  • Implement and track improvements in HR processes and internal workflows
  • Achieve positive feedback from both the Director and clients
