The Vehicle Management Supervisor is responsible for overseeing the overall management, utilization, and maintenance of the company's vehicle fleet. This role ensures that all vehicles are operational, compliant with safety and regulatory requirements, and used efficiently to support business operations. The supervisor coordinates vehicle scheduling, preventive maintenance, repairs, and documentation while monitoring drivers' performance and adherence to company policies.

Duties and Responsibilities:

  • Fleet Operations Management
  • Supervise daily operations of all company vehicles to ensure smooth dispatch, routing, and on-time delivery.
  • Assign and monitor vehicle usage based on operational needs.
  • Track mileage, fuel consumption, and overall vehicle utilization to optimize efficiency.
  • Vehicle Maintenance and Inspection
  • Ensure all vehicles undergo regular preventive maintenance and repairs as per schedule.
  • Coordinate with maintenance service providers for repairs and inspections.
  • Monitor vehicle condition and ensure cleanliness, safety, and roadworthiness.
  • Documentation and Compliance
  • Maintain updated records of vehicle registration, insurance, preventive maintenance, and repairs.
  • Ensure compliance with government transport regulations and company policies.
  • Prepare and submit fleet-related reports (fuel usage, maintenance costs, downtime, etc.).
  • Driver Supervision
  • Supervise, train, and evaluate drivers and other fleet personnel.
  • Monitor driver performance, attendance, and compliance with safety and traffic rules.
  • Address driver concerns, incidents, and violations promptly and professionally.
  • Cost and Efficiency Control
  • Monitor fuel consumption and maintenance expenses to control costs.
  • Recommend strategies to improve fleet utilization and reduce operational costs.
  • Identify areas for improvement in vehicle management processes.
  • Safety and Incident Management
  • Ensure strict implementation of vehicle safety protocols.
  • Investigate vehicular accidents or breakdowns and recommend corrective actions.
  • Promote a culture of safety and accountability among drivers and staff.

Qualifications:

  • Bachelor's degree in Logistics, Transportation Management, Business Administration, or related field.
  • At least 2–3 years of experience in fleet or vehicle operations, preferably in logistics or transportation.
  • Strong knowledge of vehicle maintenance, scheduling, and transport regulations.
  • Proficient in Microsoft Office and fleet management software.
  • Excellent leadership, communication, and organizational skills.
  • Valid driver's license (restriction appropriate to vehicle types handled).
