Job Purpose

The Accounting Staff is responsible for supporting day-to-day accounting operations, with a focus on accounts payable, inventory support, and financial reporting assistance. This role ensures financial accuracy, timely processing of transactions, and supports interdepartmental collaboration.

Key Responsibilities

A. Accounts Payable Management

  • Process supplier invoices and verify supporting documents (e.g. receiving reports, POs).
  • Ensure all transactions comply with company policies and standard accounting procedures.
  • Prepare batches of invoices for data entry and perform initial checks on document completeness.
  • Maintain accurate records of purchases and generate purchase summaries regularly.

B. Billing and Sales Support

  • Serve as backup for billing staff, including order-taking and invoicing functions during their absence.
  • Assist in the preparation and monitoring of sales summaries and volume reports across outlets and groups.

C. Inventory Support

  • Assist the Inventory Controller and Purchasing team in validating and recording stock entries.
  • Conduct physical inventory checks and validate stock cards vs actual counts.
  • Monitor uniform inventory and ensure accurate issuance tracking for production and logistics teams.

D. Administrative & Cross-functional Support

  • Monitor gasoline consumption and report usage discrepancies.
  • Assist in preparing reports related to uniform charges for office staff, service crew, and franchisees.
  • Participate in cross-department tasks and support team efforts toward accuracy and efficiency.

Key Results Areas (KRAs)

Timely and Accurate AP Transactions – Ensures payables are processed and posted without delays or errors.

Inventory Accuracy and Reporting – Assists in maintaining reliable inventory records and timely reporting of discrepancies.

Collaboration and Team Support – Actively contributes to a supportive, high-performing accounting team.

Qualifications

Bachelor's degree in Accountancy, Finance, or any related course.

1-2 years of experience in general accounting or AP roles is preferred.

Familiarity with accounting systems (e.g., QuickBooks, SAP) is an advantage.

Strong attention to detail, organizational skills, and willingness to learn.
