Overview:

We are seeking a highly organized and proactive Personal-Executive Assistant to provide comprehensive support across business operations, personal administration, and family scheduling. The ideal candidate is detail-oriented, process-driven, and able to manage multiple responsibilities in a fast-paced environment. This role is suited for someone who thrives on structure, enjoys diverse tasks, and is comfortable working within a values-driven, faith-oriented environment.

Key Responsibilities:

Business Support

  • Manage multiple inboxes and maintain clear communication channels
  • Oversee calendar management and schedule coordination
  • Set appointments and manage daily check-ins
  • Create, maintain, and optimize schedules and workflows
  • Transcribe voice notes and convert them into actionable tasks
  • Complete forms and assist with basic bookkeeping
  • Manage finance schedules and add recurring or upcoming fees
  • Conduct research, prepare shortlists, and compile recommendations
  • Assist with travel arrangements, logistics, and itinerary planning
  • Create, update, and maintain Standard Operating Procedures (SOPs)

Tomewin (Property / Home Operations)

  • Manage maintenance schedules and coordinate with trades
  • Conduct product research and provide curated shortlists
  • Maintain online shopping carts and manage order follow-ups

Tainui (Family / Personal Administration)

  • Maintain and update parenting schedules
  • Sync calendars with Jay and manage shared commitments
  • Coordinate extracurricular activity bookings
  • Track and manage library book returns
  • Add school fees to the finance schedule
  • Add school events, meetings, and reminders to the calendar
  • Add cooking, shopping, and household reminders

TVH (Business / Meetings Support)

  • Collate meeting documents and schedule review sessions two weeks prior
  • Capture action items from meetings and follow up as necessary
  • Add fees, reminders, and recurring tasks to the schedule
