Job Summary:

The Procurement Officer is responsible for sourcing, evaluating, and acquiring goods and services required to ensure uninterrupted operations and optimal cost efficiency. This role involves managing supplier relationships, negotiating contracts, monitoring inventory levels, and ensuring compliance with company procurement policies and quality standards. The Procurement Officer works closely with operations, finance, and store teams to secure the best value for money while maintaining the quality and consistency of products, particularly food and packaging materials.

Job Responsibilities

  • Identify, evaluate, and select reliable suppliers for goods and services.
  • Negotiate prices, payment terms, and delivery schedules to optimize cost and quality.
  • Prepare and process purchase orders in accordance with approved budgets and procurement procedures.
  • Monitor inventory levels and coordinate with store and warehouse teams to prevent shortages or overstock.
  • Conduct market research to identify new suppliers, products, and trends relevant to the food service industry.
  • Review and compare proposals, quotations, and contracts to ensure competitive pricing and value.
  • Maintain accurate procurement records and supplier databases.
  • Liaise with finance to ensure timely supplier payments and resolve any invoice discrepancies.
  • Ensure all procurement activities comply with legal, ethical, and company standards.
  • Assist in developing and implementing procurement policies and cost-control strategies.
  • Handle supplier performance reviews and manage corrective actions where necessary.
  • Support emergency sourcing requirements when unexpected shortages or delays occur.

Technical Skills:

  • Proficiency in procurement and inventory management systems (e.g., SAP, Oracle, Coupa).
  • Advanced Microsoft Excel and data analysis skills.
  • Understanding of sourcing strategies, cost analysis, and basic contract law.

Soft Skills:

  • Strong negotiation, persuasion, and relationship management abilities.
  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Ability to work under pressure and meet deadlines.

Knowledge Areas:

  • Procurement policies, procedures, and compliance requirements.
  • Supplier evaluation, risk assessment, and market analysis.
  • Local and international trade regulations, particularly in the food and beverage industry.

Experience:

  • Minimum of 2 years' experience in procurement, purchasing, or supply chain management, preferably in the food service or retail sector.
  • Proven experience in vendor management, tendering processes, and contract negotiation.
