DUTIES AND RESPONSIBILITIES:

  • Accountable for analyzing and reconciling all trade deductions.

  • Monitor the Accounts Receivable Aging Report and web portals for assigned accounts.

  • Identify and resolve open deductions stemming from various customer claims, including claims related to disputes over prices, discounts, shortages, returns, and delivery requirements.

  • Collaborate internally with team members from various departments, including Finance, Sales, Customer Service, and Operations to successfully research the validity of deductions.

  • Ensure Accounts Receivable balances are adjusted to properly reflect closed claims. Obtain all necessary documentation to support adjustments.

  • Submit claims to customers for the repayment of deductions that are deemed to be invalid. Track and monitor all open claims to ensure timely repayment.

  • Submit claims to freight carriers for customer deductions resulting from failures of service. Track and monitor all open freight claims to ensure timely payment.

  • Collaborate with various departments to identify trends and opportunities for process improvements related to customer disputes.

  • Identify root causes and collaborate with internal debts and third-party teams to expedite any dispute resolution within customer constraints.

  • Trend analysis on invalid deduction activity that leads to insights on efficiency and effectiveness of deduction management.

  • Attach all necessary documentation in PM Platforms.

  • Maintain detailed spreadsheets as well as updating workflow in PM Platforms on all open items on customer portfolio.

  • Assess first actions needed as soon as deductions are generated.

  • Assist in special projects as needed.

  • Handles non-routine tasks that are more difficult and varied

  • Makes working decisions and resolves issues within their area of specialization with minimal supervision

  • Maintains all relevant reports necessary for the process

  • Provides guidance and necessary training to juniors of the same role
