Job Summary:

We are seeking a detail-oriented and organized Documentation Clerk to manage, process, and maintain critical documents related to our realty operations. The ideal candidate will have prior experience in the real estate industry and a strong understanding of property documentation, contracts, and compliance requirements. This role supports both internal teams and external clients by ensuring accurate recordkeeping and timely document flow.

Key Responsibilities:
  • Receive, log, and organize incoming and outgoing documents related to property transactions, leases, permits, and contracts.
  • Prepare, format, and file realty-related documents such as deeds, lease agreements, purchase offers, and disclosures.
  • Maintain digital and physical filing systems for easy retrieval and audit readiness.
  • Coordinate with agents, brokers, legal teams, and clients to ensure documentation accuracy and completeness.
  • Track document status and follow up on pending items to ensure timely processing.
  • Assist in preparing transmittals, acknowledgment receipts, and routing forms for document control.
  • Support compliance checks and ensure all documentation meets regulatory and company standards.
  • Generate reports and summaries for management on documentation status and trends.
  • Handle confidential information with discretion and professionalism.
