Job Description:

  1. Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, senior executives, clients, and partners.

  2. Manage the CEO's complex and ever-changing calendar, schedule appointments, and coordinate meetings, including high-level external engagements.

  3. Handle sensitive and confidential information with the utmost discretion and professionalism.

  4. Prepare and review reports, presentations, and other materials for the CEO, ensuring accuracy and quality.

  5. Conduct research, compile data, and prepare briefing materials to support the CEO in decision-making processes.

  6. Coordinate and prioritize the CEO's emails, phone calls, and other communications, responding on their behalf when necessary.

  7. Manage travel arrangements, including booking flights, accommodations, and ground transportation for the CEO's business trips.

  8. Assist in preparing for and supporting the CEO in board meetings, conferences, and other key events.

  9. Anticipate the CEO's needs, proactively identify opportunities to increase efficiency, and provide strategic support as needed.

  10. Collaborate with other members of the executive team and departments to ensure alignment and effective communication.

Requirements:

Minimum 3-5 years of experience as an Executive Assistant, Secretary, or similar administrative role

Previous experience supporting C-level executives preferred

Bachelor's degree in Business Administration, Office Management, or related field

Diploma in Secretarial Studies or equivalent administrative qualification accepted

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Experience with calendar management systems and video conferencing platforms

Strong typing skills (minimum 60 WPM with accuracy)

Excellent written and verbal communication skills in English and Filipino

Additional language proficiency (Mandarin, Japanese, or Spanish) is an advantage

Scope of Work:

  1. Strategic Support: Provide high-level administrative and strategic support to the CEO, including managing priorities, projects, and initiatives.

  2. Communication Management: Screen and manage the CEO's communications, ensuring timely responses and maintaining a professional image.

  3. Relationship Management: Cultivate and maintain relationships with key stakeholders on behalf of the CEO, including board members, investors, and partners.

  4. Executive Briefings: Prepare briefing materials, reports, and presentations for the CEO's meetings, presentations, and speaking engagements.

  5. Decision Support: Conduct research, gather data, and provide insights to support the CEO in strategic decision-making processes.

  6. Board and Committee Support: Assist in preparing for board meetings, coordinating agendas, materials, and follow-up actions.

  7. Travel Coordination: Arrange complex travel itineraries, accommodations, and logistics for the CEO's domestic and international trips.

  8. Event Planning: Coordinate and support the CEO in organizing corporate events, conferences, and other special occasions.

  9. Project Management: Manage special projects assigned by the CEO, ensuring deadlines are met and objectives are achieved.

  10. Problem Solving: Handle day-to-day issues and challenges on behalf of the CEO, making decisions or escalating as needed to ensure smooth operations.
