Administrative Assistant Job Description

Position Summary:

The Administrative Assistant will provide comprehensive support to ensure efficient operation of the office. This role involves handling a wide range of administrative and executive support-related tasks, requiring strong organizational skills, attention to detail, and the ability to work independently with little supervision.

Key Responsibilities:

  • Office Management:

o Organize and schedule meetings, appointments, and events.

o Maintain office supplies inventory and place orders as needed.

o Coordinate office maintenance and repairs.

  • Administrative Support:

o Prepare and edit correspondence, reports, and presentations.

o Manage incoming calls, emails, and other communications.

o Maintain and update filing systems, both electronic and physical.

o Permit Assistance / Support in documentation


• Document Handling:

o Draft, format, and print relevant documents.

o Handle confidential information with discretion.

o Assist in preparing reports, proposals, and other documents for management.

  • Coordination and Communication:

o Liaise with internal staff and external stakeholders.

o Coordinate travel arrangements, accommodations, and itineraries.

o Assist in organizing company events or meetings.

o Assist clients, visitors endorse them to the right department.


• Financial and Data Entry Tasks:

o Process invoices, receipts, and expense reports.

o Track office-related expenses and assist in budget management.

o Maintain accurate records and data entry for company databases.

o Request for payment creation, reimbursements and liquidations.

o Transmittals, encoding, monitoring.

Job Type: Full-time

Pay: Php20, Php22,000.00 per month
