Job Brief

We are seeking an experienced and proactive Administrative Assistant to support a busy accounting practice. The ideal candidate has previously worked in a similar environment, is confident using Xero Practice Manager (XPM), and has strong skills across the Microsoft Office Suite—particularly Excel. This role is best suited to someone with initiative, exceptional attention to detail, and the ability to manage multiple tasks efficiently in a remote setting.

Responsibilities

  • Provide administrative support to accountants and firm management.
  • Manage client records, job workflows, and deadlines within Xero Practice Manager (XPM).
  • Maintain accurate data entry and document control across systems.
  • Prepare and update spreadsheets in Excel for reporting, task tracking, and scheduling.
  • Support lodgement processes and assist with general ATO documentation.
  • Handle incoming emails, client correspondence, and scheduling requests.
  • Assist in updating internal databases, portals, and compliance platforms.
  • Perform general administrative duties including filing, formatting, and task coordination.

Requirements

  • Prior experience working in an Australian accounting or professional services firm.
  • Proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Strong experience using Xero Practice Manager (XPM) for workflow and job management.
  • Excellent written and verbal communication skills in English.
  • High level of accuracy and organisational ability.
  • Ability to work independently and manage time effectively in a remote role.
  • Based in the Philippines with availability during Australian business hours.

Desirable

  • Familiarity with NowInfinity, FYI Docs, or other compliance/document platforms.
  • Exposure to Australian tax workflows and client lodgement processes.
  • Experience supporting multiple accountants or client managers in a public practice.

Software Proficiency

  • Practice Management: Xero Practice Manager (XPM)
  • Document & Compliance Tools: FYI Docs, NowInfinity (preferred but not essential)
  • Productivity: Microsoft Excel (intermediate to advanced), Outlook, Word
  • File Management: Google Drive, Dropbox, or similar

Education

  • Diploma or Bachelor's Degree in Business Administration, Accounting, or a related field
  • Relevant certifications in Microsoft Excel or Xero (preferred but not essential)
