Job Description:

We're looking for a Design Operations Associate to support our design team's operational infrastructure and workflows. This junior role is perfect for someone with a UI/UX/Product Design background who's excited about optimizing processes, coordinating projects, and helping creative teams work more efficiently. You'll be the operational backbone that keeps our design projects running smoothly while learning the fundamentals of Design Operations.

Note: Before fully transitioning into Design Operations responsibilities, you'll complete a structured 2-month training program to learn our workflows, tools, and design processes.

RESPONSIBILITIES:

Work Coordination & Tracking

  • Prepare daily reports on team accomplishments, including throughput, concerns, and blockers
  • Manage our Trello board by ensuring all items are accounted for and is of the correct status
  • Monitor task completion and identify blockers that need attention
  • Create and maintain checklists to keep the team organized

Workflow Optimization

  • Facilitate Daily Stand-Ups and Checkpoints, with the guidance of the Operations team
  • Track task completion and follow up with team members who encounter obstacles
  • Identify opportunities to improve team workflow, efficiency, and productivity
  • Support timeline tracking and milestone management

Design File & Asset Management

  • Organize and maintain design files and asset libraries
  • Support design file organization under supervision
  • Ensure proper file structure and naming conventions are followed

Client & Stakeholder Communication

  • Attend client stand-ups to provide updates on accomplishments and address upcoming requests
  • Track incoming queries from key stakeholders and monitor their status
  • File cards for urgent requests, alert the team, and help align deadlines
  • Support communication between design teams and project managers

Documentation & Process Improvement

  • Create documentation to capture and share team processes and workflows
  • Learn and follow established operational workflows

Team Support

  • Assist with project setup and onboarding for new team members
  • Support cross-functional team coordination
  • Handle ad hoc operational tasks as needed

Operations Review

  • Attend bi-monthly operations review meetings to assess team performance
  • Review the team's weekly workload and provide insights to leadership on team workload and capacity

Required Experience

  • 1-2 years of UI/UX/Product Design experience (hands-on design work required)
  • Understanding of design workflows and production processes
  • Exposure to client work or collaborative design projects

Technical Requirements

  • Figma Proficiency: Comfortable using Figma for design work, collaboration, and process-related tasks
  • Google Workspace: Familiar with Google Drive, Docs, and Gmail
  • Project Management Tools: Willingness to learn Trello and other coordination tools
  • Design Handoff Knowledge: Basic understanding of design handoff processes and file organization

Advantage: Possesses project management experience and is skilled in using project management methodologies (both Waterfall and Agile Methodologies)
