Executive Assistant to the CEO

Job Overview: We are seeking a proactive and highly organized Executive Assistant to the CEO (Experienced Nurse) preferably with marketing skills and experience to join our team remotely. In this role, you will support our executive leadership by handling a wide range of administrative, operational, and marketing tasks in a fast-paced environment. Your ability to manage multiple priorities, maintain confidentiality, and contribute to marketing initiatives will be essential to the success of our organization.
Key Responsibilities: Administrative Support
- Manage calendars, schedule appointments, and organize meetings for executives.
- Handle email management: draft, respond, and organize communications.
- Provide regular updates to the CEO on ongoing tasks and projects.
- Ensure the CEO is reminded of upcoming tasks and deadlines.
- Assist with preparing reports, presentations, and materials.
- Maintain accurate records and manage digital filing systems.
- Collaborate with the marketing and operations team on promotional campaigns, content creation, and social media management.
- Assist with the creation of marketing materials and assets.
Other Responsibilities:
- Conduct research and compile information for special projects.
- Act as a point of contact between executives and internal/external stakeholders.
- Assist in ad-hoc tasks as required.
Qualifications: Experience:
- Experienced Nurse
- Proven experience as an Executive Assistant or similar role preferably with marketing background.
- Preferably with one year of experience working with AI technologies such as ChatGpt, Perplexity, Claude, FaceApp and similar applications.
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- Familiarity with remote collaboration tools such as Slack, Asana, Hubstaff, freshworks, Adobe, Docusign or similar.
- Proficiency in Google Workspace (Gmail, Google Docs, Google Sheets) or Microsoft Office (Word, Excel, Outlook).
- Marketing experience in content creation, social media management, and promotional campaigns.
- Naturally extroverted, with the ability to take the heat in dynamic situations.
- Resilient and not easily offended, allowing for effective collaboration in a dynamic environment.
- Self-motivated, dependable, and able to work independently.
- Tech-savvy, adaptable to new systems quickly.
- Professional and discreet with the ability to handle confidential information.
- Intel i3 or equivalent processor.
- Minimum 8GB RAM.
- High or SSD storage.
- Operating System: Windows 10 or macOS Catalina) or higher.
- Headset: Noise-canceling headphones with a microphone.
- Workspace: Quiet, private area for confidential communications.
- Backup Power: Uninterruptible Power Supply (UPS) or alternate power source.
- Education: A diploma from a four-year college education.
- Identification: Candidates must provide a valid government-issued identification (e.g., passport, driver's license).
- Proof of Residency: A recent utility bill or bank statement reflecting the candidate's current address.
- Background Check: Consent to undergo a background check as part of the hiring process.
