Project Coordinator – Audio Visual (Manila Based)

One of our key clients is a global leader in investment banking, offering services across consumer, small business, and commercial banking, financial transaction processing, asset management, and private equity.

We are seeking a Project Coordinator to support our Audio Visual Project Manager in delivering AV projects across the Asia Pacific region, including the Philippines, Singapore, Malaysia, and Thailand.

Role Overview

The Project Coordinator will play a critical supporting role in the successful delivery of AV projects. This position is ideal for someone who is highly organized, detail-oriented, and capable of managing multiple tasks across a dynamic and fast-paced environment. You will assist in project planning, documentation, vendor coordination, reporting, and communication across internal and external stakeholders.

Key Responsibilities

Project Administration & Coordination

  • Support the Project Manager in tracking project timelines, milestones, and deliverables.
  • Maintain project documentation including meeting minutes, action logs, schedules, and reports.
  • Assist in preparing and updating project plans, budgets, and forecasts.

Stakeholder Communication

  • Coordinate meetings, calls, and communications between Vega teams, vendors, and client stakeholders.
  • Ensure timely follow-up on action items and maintain clear communication channels.

Vendor & Logistics Support

  • Assist in coordinating with AV vendors for equipment delivery, installation schedules, and testing.
  • Track procurement status and ensure timely receipt of AV components and materials.

Documentation & Reporting

  • Prepare regular status reports and dashboards for internal and client review.
  • Maintain version control of project documents and ensure proper filing and accessibility.

Quality & Compliance

  • Support quality checks during implementation and testing phases.
  • Ensure documentation and processes adhere to client standards and Vega's internal procedures.

Regional Coordination

  • Help manage project activities across multiple countries in Asia Pacific.
  • Track local regulatory requirements, site readiness, and vendor compliance in each location.

Qualifications & Experience

  • Bachelor's degree in Business Administration, Project Management, Communications, or a related field.
  • 2+ years of experience in project coordination, preferably in technology, AV, or construction industries.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with project management tools (e.g., Smartsheet, MS Project, or similar) is a plus.
  • Ability to work independently and collaboratively across diverse teams and cultures.
  • Experience coordinating with vendors and managing logistics is an advantage.
  • Familiarity with AV technologies or infrastructure projects is a plus but not required.
