The successful candidate will play a key role in ensuring projects are delivered smoothly, on time, and aligned with objectives. Working closely with the Operations Manager, you will support the delivery of minor works projects by coordinating resources, managing timelines, monitoring progress, and maintaining effective communication with all stakeholders.

The Opportunity

We are looking for a proactive Project Coordinator to work in a full-time remote role. This position is ideal for someone with excellent organizational skills, strong communication abilities, and proven project coordination experience.

The successful candidate will assist in managing workflows, ensuring deadlines are met, and supporting project managers and operations leaders in achieving company targets.

Key Responsibilities

  • Support the Operations Manager in delivering minor works projects successfully.
  • Maintain a client satisfaction rating of 8+.
  • Procure materials and engage suppliers in a timely manner to meet project deadlines.
  • Onboard subcontractors onto SEQ platforms.
  • Compile and track all required contract documentation.
  • Assist Project Managers in billing and invoice closeouts to achieve end-of-month targets.
  • Create new job entries in the system and upload budgets to job files.
  • Generate purchase orders.
  • Prepare draft progress claims, invoices, and quotes.
  • Develop and maintain site safety documentation.
  • Coordinate and schedule internal and external trades.
  • Gather relevant data and issue weekly client reports for each active job.
  • Report monthly revenue forecast targets to the Head of Operations.
  • Follow up on quote proposals and ensure system updates are accurate.

What We're Looking For

  • Bachelor's degree in Business Administration, Engineering, or a related field.
  • Minimum of 3 years' experience in project coordination and administration in construction field.
  • Experience working in an Australian project management environment is an advantage.
  • Proven ability to support cross-functional teams and manage multiple projects simultaneously.
  • Familiarity with project management methodologies such as Agile or Waterfall.
  • Industry-specific experience (e.g., construction, software, or marketing) is required.
  • Experience in budget tracking or financial reporting is desirable.
  • Proficiency with project management tools (MS Project, Asana, Trello, Jira).
  • Strong Microsoft Office skills (Excel, Word, PowerPoint).
  • Experience with reporting and documentation tools is a plus.
  • Excellent time management and multitasking abilities.
  • Strong verbal and written communication skills in English for collaboration with team members, stakeholders, and vendors.
  • Ability to thrive in a fast-paced environment and effectively prioritise tasks.
