Job Description

As a Remote Admin, you'll support end-to-end implementation of financial advice-from liaising with providers to managing documentation in Xplan-ensuring clients receive accurate, timely, and compliant financial support across wealth, retirement, and insurance solutions.

The Qualifications We Seek

  • Minimum 3 years experience in Administration
  • Minimum 1 year experience in Data Entry
  • Experience in Financial Services
  • Post-secondary qualifications in financial services are desirable
  • Moderate to advanced Xplan proficiency, especially with Xplan IPS/Portfolio, Client Admin

Nice to Have:

  • Experience with Wealth Solver
  • Working knowledge of Australian investment and personal insurance environment
  • General understanding of superannuation, including the basics of contribution types and approximate limits for concessional and non-concessional caps

  • Attention to detail and accuracy
  • Strong communication skills in advanced English (verbal and written)
  • Ability to work independently and collaboratively
  • Comfortable with changes due to evolving business and legislative updates

Your Daily Tasks

Operational Management:

  • Contact product providers to confirm implementation and processing completion
  • Adhere to client privacy and security requirements
  • Assist in ad-hoc requests

Client Relationship Management & Engagement:

  • Communicate with clients using letter and email templates

Iress Xplan Software Suite (or chosen CRM):

  • Upload required documentation to Xplan or designated CRM systems
  • Enter data and client details accurately and precisely into Xplan
  • Update client status, including archiving and fee-for-service category
  • Navigate and complete assigned tasks in Xplan according to instructions
  • Assist with tasks assigned by administrators
  • Prepare invoicing
  • Comply with Xplan updates, changes, and ad-hoc tasks
  • Maintain appropriate, detailed records of all actions in advice implementation

Compliance and Risk Management:

  • Stay updated on legislation and regulatory requirements
  • Identify and report issues during task completion ("see something, say something")
  • Review documentation and advice files for compliance

Technical Skills:

  • Conduct quality assurance on Post Investment Reviews and checklists
  • Perform Commpay Mapping
  • Generate Annual Review Documents
  • Generate ongoing service and annual renewal documents (Fee Disclosure Statements and renewal notices)
  • Prepare and prepopulate insurance, superannuation, and pension applications
  • Liaise with product providers to gather requirements for various advice types
  • Liaise with product providers to gather requirements for TPA processing
  • Prepare NOI and withdrawal request forms
  • Prepare and send Centrelink authority cover letters
  • Confirm implementation progress with providers, including account activation, rollovers, NOIs, investment switches, rebalancing, and change of advisor requests
  • Process third-party authorities and related forms (submission, cancellations, Fee Consent)
  • Follow up with providers on processing progress
  • Assist and comply with technical developments as required
