Job Summary

The HR Administrative Officer is responsible for providing day-to-day administrative and operational support to the HR Department while ensuring smooth coordination across Finance, Procurement, Facilities, and clinic branches. This role manages government reportorial requirements, assists with processing LGU permits and business renewals, manages vendor relationships, and supports employee engagement activities and corporate events. The HR Admin plays a key role in maintaining compliance, documentation, and administrative efficiency across the organization.

Key Responsibilities

  1. HR & Administrative Support

  2. Maintain and update employee records, HR databases, and filing systems.

  3. Prepare HR documents such as contracts, memos, and certifications.
  4. Assist in onboarding and offboarding processes.
  5. Support day-to-day HR operations and respond to employee questions.

  6. Government Process & Compliance

  7. Process government reportorial requirements (SSS, PhilHealth, Pag-IBIG, BIR).

  8. Ensure timely submission of statutory documents and compliance updates.
  9. Coordinate with government agencies for registrations, updates, or queries.

  10. Vendor & Procurement Coordination

  11. Support vendor management processes, including accreditation, documentation, and monitoring of deliverables.

  12. Coordinate with vendors for HR-related services such as uniforms, office supplies, benefits vendors, training providers, etc.
  13. Track and ensure timely processing of vendor payments in coordination with Finance and Procurement.

  14. Facilities & Office Administrative Support

  15. Monitor office supplies, stocks, and asset inventory for HR and shared spaces.

  16. Event Management & Employee Engagement

  17. Assist in planning, organizing, and executing company events such as:

  18. Team-building activities

  19. Employee engagement programs
  20. HR initiatives and training sessions
  21. Coordinate with internal teams and external suppliers for event logistics.

  22. Reporting & Documentation

  23. Prepare HR and administrative reports as required.

  24. Maintain compliance records and ensure complete documentation
