HRIS Project Assistant

Job Summary:
We are looking for a highly detail-oriented and organized HRIS Project Assistant/ Encoder to support our HR Department in the re-implementation of the Sprout HRIS system. This role is critical in ensuring accurate encoding, data validation, and document management during the system setup and migration process.
Key Responsibilities:
Data Management and Encoding
- Accurately encode employee data into the Sprout HRIS templates based on company records and standard formatting guidelines.
- Ensure proper capitalization, no empty cells, and complete datasets.
- Follow data processing phases, particularly:
Phase 1: Payroll Data (e.g., salaries, government IDs, allowances)
Phase 2: Schedule and Timekeeping Data
Phase 3: 201 Document Completion
- Handle new employee additions properly, ensuring that new rows are allowed without altering the structure.
File and Document Organization
- Assist in organizing and filing physical employee 201 folders (e.g., contracts, government documents).
- Ensure documents are arranged alphabetically and stored inside designated 201 cabinets.
Compliance and Quality Control
- Review and cross-verify data against source documents to ensure integrity and compliance.
- Flag and coordinate any discrepancies or missing information with HR leads.
Support to Project Leads
- Coordinate closely with HR Leads and other project stakeholders.
- Track encoding progress and support documentation of progress reports.
- Ensure encoding deadlines are met based on the Gantt chart timeline.
Qualifications:
- At least 1 year experience in data encoding, HR assistant work, or administrative support (preferred).
- Proficiency in Microsoft Excel or Google Sheets is required.
- Strong attention to detail and ability to follow formatting instructions.
- Familiarity with HRIS systems (Sprout or similar) is a plus.
- Ability to handle confidential information with integrity and discretion.
Work Setup:
- Location: On-site (PYC Foods Corporation HR Office)
- Schedule: Mondays to Fridays, 8:00 AM – 5:00 PM (subject to change based on project needs)
- Duration: August 2025 – October 2025 (with possible extension depending on project progress)
