We are seeking a highly organized, detail-oriented Virtual Executive Assistant to support a dynamic business owner in managing day-to-day administrative, organizational, and operational tasks. The ideal candidate will serve as a proactive and dependable right-hand assistant, helping streamline responsibilities that often become overwhelming due to a fast-paced work environment and multiple concurrent projects.

This role is critical in allowing the business owner to focus on high-level strategy, while the assistant ensures essential functions such as email, calendar, task, and CRM management are handled efficiently and with care.

Key ResponsibilitiesEmail Management

  • Monitor and organize the inbox daily to ensure important communications are prioritized.
  • Forward all bills and invoices to the appropriate billing service.
  • Draft email responses for review and approval.
  • Regularly archive or delete unnecessary emails to maintain an uncluttered inbox.

Task and Calendar Management

  • Create tasks in Asana from emails and discussions that require follow-up or action.
  • Maintain a daily task calendar using Asana, ensuring tasks are tracked and deadlines are met.
  • Move incomplete tasks forward and proactively manage ongoing projects.
  • Assign tasks to yourself where appropriate and complete them independently.
  • Ensure every task has a clear due date for visibility and follow-through.
  • Review staff daily reports and verify completion checklists are accurate and up to date.

Appointment Scheduling

  • Add personal and family appointments to Outlook Calendar for review and confirmation.
  • Coordinate scheduling needs and ensure calendar accuracy.

System and Tool Management

  • Utilize Asana for task and project tracking.
  • Use Google Suite (Docs, Sheets, Drive) for document creation and collaboration.
  • Support light Canva content creation and edits.
  • Update and manage CRM tools including Lead Connector and Creatively Disruptive.
  • Maintain customer records, tags, snippets, and workflows.
  • Implement changes and updates to CRM systems promptly and accurately based on new ideas or business needs.

Social Media Support (Future Potential)

  • Assist in implementing a proactive social media calendar.
  • Schedule posts, coordinate content, and manage engagement across platforms (optional or future growth area).

Preferred Qualifications

  • Proven experience as an Executive Assistant, Administrative VA, or in a similar role.
  • Strong working knowledge of Asana, Google Suite, Outlook, and CRM systems (especially Lead Connector).
  • Familiarity with Canva and basic graphic design tasks.
  • Tech-savvy and comfortable with backend tools and CRM customization.
  • Exceptional organizational and communication skills.
  • Able to work independently and manage multiple priorities efficiently.
  • Professional, responsive, and adaptable to a fast-changing work environment.
  • Ability to understand and mirror the tone, style, and preferences of the business owner.
