Alongside our team of 180+ members spanning Media Buyers, Copywriters, Content Managers, Landing Page Developers, Content Creators, Email & SMS Coordinators, CGC & Influencer Managers, we need a Marketing Operations Specialist to help us build, connect, and optimize the systems that power our growth and operations.

ABOUT THE POSITION

We're looking for a sharp, systems-minded specialist to join the Pilothouse Digital team. This is a hands-on role for someone who loves making tools talk to each other, cleaning up data chaos, and building clean, functional digital experiences from the ground up.

You'll take ownership of web builds and landing page creation in Webflow & Instapage while turning ideas into polished, high-performing pages that drive growth across our properties.

You'll play a critical role in helping Pilothouse understand and organize our data across platforms while owning integrations, ensuring data accuracy, and helping the team make smarter, faster decisions. You'll support the flow of data between tools like our CRM, Typeform, HubSpot, Webflow, Instapage, and others.

THE DAY-TO-DAY

Data & Reporting

  • Manage and organize data across CRMs, Zapier, Typeform, HubSpot, and other internal tools.
  • Maintain dashboards that surface actionable insights for marketing, sales, and operations teams.
  • Support deeper data analysis around engagement, list growth, ad performance, and new brand activity.
  • Identify and troubleshoot anomalies like click inflation or inconsistent reporting.
  • Own data pulls and cross-department sharing beyond the standard dashboards.

Integrations & Automation

  • Build and maintain integrations between key platforms (HubSpot, PandaDoc, Sponsy, Slack, ClickUp, etc.) to ensure seamless data flow.
  • Support new tool implementations and tech stack optimizations as the business evolves.
  • Help design automation workflows that reduce manual work and improve reporting accuracy.

Website & Landing Page Management

  • Build, update, and optimize website and landing pages to drive signups and purchases while enhancing UX.
  • Ensure all web changes align with SEO best practices and UX design principles.
  • Lead the technical launch of new digital products, managing timelines from ideation to release.
  • Evaluate and upgrade tools and technologies to keep systems efficient, scalable, and secure.

Web Builds & Technical Execution

  • Build and update landing pages using Figma files as design references (experience with Webflow, Framer, or similar builders preferred).
  • Assist in technical builds for special projects like membership launches, events, and sponsored campaigns.
  • Ensure data capture and tracking are properly configured across all digital assets.

REQUIREMENTS

Must-Haves:

  • Hands-on experience with CRMs, Zapier, Typeform, Webflow, HubSpot.
  • Strong technical and analytical skills , comfortable moving data between systems and troubleshooting inconsistencies.
  • Experience building pages in Webflow from design files (Figma proficiency a plus).
  • Comfort working with spreadsheets, dashboards, and integrations.
  • A problem-solving mindset, able to diagnose and improve complex systems with minimal direction.
  • Excellent communication and organization skills; you can explain technical issues clearly to non-technical teammates.
  • Familiarity with UTM management.

Nice-to-Haves:

  • Experience managing or troubleshooting tracking and analytics setups (GA4, GTM, Meta Pixel, etc.).
  • Understanding of conversion rate optimization (CRO) and A/B testing best practices.
  • Familiarity with project management tools (ClickUp, Asana, Notion, etc.).
  • Prior experience in growth marketing or performance-driven teams.
