Job Summary

The Human Resources (HR) Assistant provides support to ensure the effectiveness and efficiency of the department. The focus of this role will be on Learning & Engagement but will also handle administrative duties of other related HR functions.

Specific Duties & Responsibilities

The HR Assistant may be assigned to handle any of the following functions, as aligned by the Head of Human Resources and/or Immediate Supervisor.

Learning and Development

  • Assists in preparing logistics for onboarding, training, documentation of training files, and coordinating the administration of probationary/annual performance appraisal as needed.
  • Facilitate onboarding sessions, policy/handbook orientations, and other training sessions as aligned with Training Lead and/or HR Head
  • Provides facility tour and introduction of new employees and endorses them to their respective functions
  • Preparation and monitoring of training attendance
  • Preparation, monitoring, and issuance of training certificates. Ensures that training certificates are filed in employee 201 folder

Employee Relations and Engagement

  • Plans and implements engagement activities for employees
  • Assists in surveying, preparing for logistics for various ER events and initiatives as well as accomplishing Notice to Explain (NTEs), Disciplinary Actions (DAs) and Commendation Letters.
  • Ensures employee compliance with employee handbook, company policies, and rules & regulations. Answers any HR-related employee queries in a professional manner
  • Prepares collaterals for engagement events
  • Documentation of engagement activities

Recruitment and Pre-boarding

  • Prepares and issues contracts such as Probationary and Regular Appointments.
  • Sends and monitors pre-employment requirements and pre-employment medical exams. Receives and consolidates all pre-employment requirements for 201 filing.
  • 201 File Administration

Payroll, Compensation and Benefits

  • Provides guidance to new hires for payroll bank account opening
  • Prepares uniform and ID requests and assists in issuing uniforms and company IDs
  • Assists in billings, payment requests, and other clerical tasks related to the billing and payment of HR-related activities or events including but not limited to pre-employment medical exams, uniforms, company IDs, engagement activities, immunization, etc.

Others

  • Always observes confidentiality of employee information and other HR-related data
  • Other duties that may be assigned or other ad hoc tasks and projects that may be assigned.

Requirements

  • Bachelor's degree holder, preferably in Psychology, HRM or any business-related field
  • Preferably with at least 6 months of HR work experience, preferably in an HR Generalist role
  • Proficient in MS Office applications (Excel, Word, Powerpoint, Outlook, etc.) and Canva
  • Experience in the healthcare industry is an advantage
  • Creative, detail-oriented, friendly, and hardworking with a high sense of urgency
  • Willing to work in Arca South, Taguig City in a full on-site work setup

Job Type: Fixed term

Contract length: 4 months
