Job Summary
We are seeking a highly detail-oriented and organized Payroll Assistant to support the accurate and timely processing of payroll for our employees. The ideal candidate possesses strong numerical skills, a commitment to confidentiality, and a solid understanding of basic payroll principles and regulations.
Key Responsibilities
- Payroll Processing Support:
- Assist in the preparation and processing of bi-weekly, semi-monthly, or monthly payroll for approximately 300+ employees.
- Enter, review, and process all payroll-related data, including new hires, terminations, salary adjustments, pay rate changes, and garnishments.
- Collect, verify, and reconcile employee timekeeping records and resolve any discrepancies with managers.
- Deductions & Benefits:
- Ensure accurate calculation and processing of all deductions.
- Assist with the administration and tracking of employee benefits related to payroll.
- Compliance & Record Keeping:
- Maintain organized, secure, and accurate payroll records and files in compliance with federal and state regulations and company policies.
- Assist with year-end payroll tasks, including the preparation and distribution of tax forms (e.g., 2316).
- Reporting & Communication:
- Respond to employee inquiries and requests regarding payroll, deductions, tax withholdings, and pay stubs promptly and professionally.
- Generate and distribute standard payroll reports for the Finance and HR departments as needed.
- System Maintenance:
- Ensure the integrity of payroll data in the HRIS/payroll system
Qualifications
Required Skills & Experience:
- Education: BS Accountancy or related business course. [Associate's degree in Accounting, Finance, or a related field preferred.]
- Experience: [1-2 years] of experience in a payroll, accounting, or administrative role with exposure to payroll processing.
- Technical Proficiency: Strong proficiency in Microsoft Excel (e.g., VLOOKUP, pivot tables) and experience with a major payroll software platform.
- Numerical Skills: Excellent mathematical and data entry skills with a meticulous attention to detail and accuracy.
- Confidentiality: Demonstrated ability to handle sensitive and confidential employee information with the highest level of discretion.
Preferred Attributes:
- Knowledge of wage and hour laws and tax regulations.
- Strong organizational and time management skills with the ability to meet strict deadlines.
- Excellent written and verbal communication skills.
Working Conditions
- This is a full-time position.
- Standard work hours are [e.g., Monday-Friday, 8:00 AM - 5:00 PM].
- Occasional need to work additional hours during peak payroll cycles or month/year-end closing.
Job Types: Full-time, Permanent
Pay: Up to Php20,000.00 per month
