Purpose of the Role

The Administrator is responsible for providing a secretarial, coordinating and administrative support service to the director and team.

  • Exceptional knowledge and ability in the use of Word, Excel, Outlook, Powerpoint, Monday work management and Sharepoint.
  • Experience in payroll and Xero accounting system is desirable.

Core Accountability and Responsibilities

  • Provide a professional and efficient administrative service to the team.
  • Event organising where required.
  • Agenda setups for meetings and minute taking.
  • Managing a shared inbox.
  • Provides a central coordinating and liaison point for directorate correspondence.
  • Reporting on absences, incurring and certifying of accounts, office supplies, travel arrangements, maintenance of records and date base.
  • Assist with co-ordinating and booking training for all employees.
  • Assist with co-ordinating and booking Medicals for all employees.
  • Other adhoc duties where required.
  • Creating Fee Proposals for new enquiries.
  • Creating deliverables ie Project folders once quotation has been accepted.
  • Updating Admin Improvements & Other Items as required.
  • Maintain filing system.
  • Assist in the compilation of records and documents to support external reporting.
  • Drafting quotes in Xero for residential and commercial enquiries.
  • Updating client contact details Xero.
  • Assist with stationary ordering and IT equipment requests.
  • Collecting, collating and processing timesheets to accurately calculate employee hours worked.
  • Prepare regular payroll reports.
  • Responding to employee inquiries regarding payroll, such as discrepancies, tax deductions and leave entitlements.
  • Utilsing payroll software and systems to manage payroll processes efficiently and accurately.
  • Maintaining the confidentiality and security of sensitive employee data.
  • Prepare reports, presentations, and data analysis as required.
  • Ensure compliance with organizational policies, procedures, and industry regulations.
