We are looking for a highly organised, proactive, and detail-oriented Executive Assistant (EA) to support the Founder of a fast-growing business. This role is not just about administration—it's about protecting the Founder's time, managing priorities, and ensuring smooth communication across clients, partners, and internal teams. The ideal candidate will be confident, resourceful, and able to anticipate needs before they arise. You must be fluent in English (written and spoken) with a natural ability to communicate professionally.

This is a high-responsibility role where you'll be trusted to manage the Founder's calendar, inbox, and WhatsApp, while also handling light client communication and acting as a gatekeeper for all requests. In addition, you'll bring knowledge of Meta (Facebook/Instagram) Ads and experience using CRM systems (GoHighLevel or similar) to assist with managing marketing operations and client workflows.

Job Responsibilities:

  • Calendar & Inbox Management: Organise and manage the Founder's diary, schedule meetings, and prioritise requests.
  • WhatsApp & Communication Handling: Filter and manage incoming WhatsApp messages, drafting and responding on behalf of the Founder where appropriate.
  • Gatekeeping: Act as the first point of contact for internal and external communications, ensuring only high-value matters reach the Founder.
  • Client Liaison: Communicate confidently with clients, partners, and prospects, ensuring professional and timely responses.
  • Meta Ads Familiarity: Assist with basic tasks related to Facebook/Instagram Ads—checking performance, pulling reports, liaising with the ads team, and flagging key issues.
  • CRM Management: Use GoHighLevel (or a similar CRM) to update pipelines, manage automations, and ensure client workflows are smooth.
  • Task & Project Coordination: Keep track of ongoing projects, follow up with team members, and ensure deadlines are met.
  • Inbox Zero Culture: Maintain clarity and efficiency across all communications by filtering, categorising, and prioritising emails.

Skills & Qualifications:

  • Fluent English speaker – both written and spoken, with a natural professional tone.
  • Prior experience as an Executive Assistant, Personal Assistant, or Operations Coordinator.
  • Strong organisational skills and ability to handle multiple priorities simultaneously.
  • Proven ability to gatekeep and protect senior leadership time.
  • Experience using Meta Ads Manager (at least at a working level, e.g., checking ads, basic campaign management).
  • Familiarity with GoHighLevel CRM (or similar platforms such as HubSpot, Keap, ActiveCampaign, etc.).
  • Comfortable liaising with clients and representing the Founder.
  • Tech-savvy, adaptable, and resourceful.
  • High level of discretion and confidentiality
  • Experience working in a marketing, fitness, or coaching business.
  • Familiarity with automation tools (e.g., Zapier, n8n, Slack integrations).
  • Social media management or content coordination experience.

Work Environment
