Key Responsibilities:

  • Manage and coordinate complex calendars, meetings, appointments, and travel across multiple platforms (Outlook, iPhone, iPad).
  • Draft, manage, and organize email correspondence, letters, follow-ups, and assist with newsletter copywriting.
  • Prepare documents, consolidate digital files, organize Dropbox, and maintain efficient file retrieval systems for company and personal records.
  • Attend virtual meetings, summarize key points, and file notes for easy access.
  • Assist with expense reports, spreadsheet setup, and data consolidation.
  • Support creation of marketing collateral, PowerPoint layouts, and content summaries.
  • Maintain records of insurance policies, manage reminders, accountability check-ins, and assist with event or travel coordination.
  • Recommend and implement tools for note-taking, task tracking, and information management (e.g., Evernote, Notion).
  • Organize and draft business plans, summaries, and research materials for ongoing business initiatives.

Qualifications:

  • Prior experience supporting C-level executives in a fast-paced, professional environment.
  • Proficient with Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams), Dropbox, HubSpot CRM, Zoom, WhatsApp, and Apple devices (Mac, iPhone, iPad).
  • Excellent communication, writing, and organizational skills.
  • Comfortable with technology and eager to learn or improve systems, especially in file management and data organization.
  • Patient, detail-oriented, and able to maintain confidentiality.
  • Proactive, self-managing, and able to anticipate needs and create order from complexity.
  • Experience in admin support, executive assistance, project management, file management, calendar management, email management, graphic design, and operations management is a plus.
  • Must be amenable to work at night
  • Must be comfortable working with timetrackers
  • Must have own working equipment (computer: atleast i5 and 8GB Ram, webcamera, and noise cancelling headset)

Job Type: Part-time

Pay: Php Php300.00 per hour

Expected hours: 20 per week
