Key Responsibilities:

  • Manage and update customer data within HubSpot and other CRM platforms.
  • Monitor, analyze, and generate reports on CRM and project data to identify trends and opportunities.
  • Coordinate projects and track progress using to ensure timely completion of deliverables.
  • Assist in creating visually appealing presentations, marketing materials, and social media graphics using Canva.
  • Perform data entry, organization, and quality checks for CRM and project databases.
  • Provide administrative support, including scheduling meetings, coordinating communications, and maintaining project timelines.
  • Assist with basic data analytics, reporting, and KPI tracking to support business decisions.
  • Collaborate closely with different departments to ensure smooth project execution and customer relationship management.
  • Stay updated with CRM best practices and suggest improvements for system optimization.
  • Support the marketing team with graphic design and light content creation tasks as needed.

Qualifications:

  • Proven experience as a Virtual Assistant, CRM Manager, Project Coordinator, or similar role.
  • Proficiency with HubSpot CRM and project management software.
  • Strong skills in data analytics, reporting, and dashboard creation.
  • Intermediate to advanced skills in Canva for creating professional graphics.
  • Excellent organizational, communication, and time-management skills.
  • Ability to work independently and manage multiple tasks with minimal supervision.
  • High attention to detail and a commitment to delivering high-quality work.
  • Tech-savvy and able to quickly adapt to new tools and platforms.
  • Must be amenable to work at night
  • Must be comfortable working with time trackers
  • Must have own working equipment (computer: atleast i5 and 8GB Ram, web camera, and noise cancelling headset)
